  1. Never share your password.
  2. Create complex passwords for both the Novell and GroupWise logins.
    • Novell Network passwords are not case sensitive. They must be a minimum of 5 characters, and should be a combination of lower & upper case letters, symbols and numbers.
    • GroupWise passwords are case sensitive, may be different than the Network password, and are neither created nor changed unless you, the User, chooses to do so. In order to access your GroupWise email from the Web, you must have first created a GroupWise password from within GroupWise while logged in to your computer at DCCC.   3. Change your Novell Network password every 40 days as prompted by our Network system.
    • If you need to record the password, keep it in a secure location. Never tape any passwords to the workstation area nor keep them in an area of visibility.

  4. Never open email attachments with the 3-letter extensions of .EXE, .BAT, .COM, .VBS, .SHS, .PIF, .SCR, or with a double 3-letter extension such as “FILENAME.DOC.EXE” or “FILENAME.TXT.BAT”. Contact the Help Desk if there is a specific need to open such an attachment for further instructions.
    • Attachments with known formats, i.e. MS Word (.doc) or MS Excel (.xls) should be saved then scanned for viruses prior to opening (see Item #6).

  5. Never open email or attachments from sources you do not know and that look suspicious. If you receive an unexpected email with attachments from someone you do know, contact them to verify they did, in fact, send you both the email and the attachment.
  6. Scan all email attachments for viruses prior to opening them.
    • To scan individual files or attachments:
      • Save the file to your hard disk
      • Scan the file
        • Right-click the Realtime Monitor icon (navy blue icon w/bouncing yellow ball located on bottom right of your screen). Select Launch the eTrust Antivirus. Navigate to location of the saved file or files. Putting a Check next to a filename will include it in the current virus scan. Then, click the green triangle on the top left of the eTrust screen, which will start the scan.
        • If no virus is found, the lower pane of the eTrust window will only display a Status of “Open Error”. If a virus is found and fixed, the Status will display “Infected-Curedbut if the virus is not fixed, the Status will display “Infected-Not Cured”. Please call the Help Desk for further instructions.

  7. Scan all Floppy and CD-ROM disks for viruses prior to using them on your computer. (See Item #6 for instructions).
  8. Regularly “Back up” critical data files.
    • Simply COPY the file or folder you wish to “back up”, and PASTE to another location such as a Floppy or CD, etc.

  9. Lock your computer whenever you leave your workstation.
    • Press: Ctrl + alt + del (all at the same time), then click the tab Lock Workstation. To unlock, press Ctrl + alt + del (all at the same time), then type your Network password on the Novell Login screen.
    • Always completely shut down your workstation at the end of each workday.
      • Click Start | Shut down | and select Shut down from the pull-down menu.

  10. Keep a clean PC by managing your files.
    • Delete unused temp files from your C:\Drive
      • Right-Click the My Computer icon on your desktop and select Open. Then right-click Local Disk (C:) and select Properties from the drop-down menu that appears. Click the Disk Cleanup button. When the process completes calculating your drive (may take a while), check all the boxes, then click OK to finish, then Yes to delete the files.

    • Empty the Recycle Bin
      • Right click the Recycle Bin icon on your desktop, then click Empty Recycle Bin

    • Clear the cache (temp files) in Internet Explorer

      • Open Internet Explorer, click on the Tools menu, then Internet Options, and select the General tab. Click Delete Cookies, and then click Delete Files. You’re finished!
