RequirementsThe ideal candidate must have a High School Diploma or GED; Associates Degree preferred but not required; Excellent interpersonal and organizational skills with keen attention to detail; Ability to work well under pressure and independently, and handle multiple tasks; General computer experience with emphasis on Microsoft Office; Knowledge of SCT BANNER highly desirable; Commitment to the community college mission.
Delaware County Community College invites applications for a part-time Administrative Assistant in our Exton Center campus.
This position provides reception and clerical support to the Director and Instructional and Student Services (and the non-credit division) at the College’s Exton Center. Work collaboratively with all members of the administrative, faculty and support staff team. Provide quality customer service reflecting the culture and mission of DCCC and Branch Campus Operations. This position also requires a professional demeanor and a willingness to address the needs of the ‘customer’ quickly and accurately.
Primary responsibilities include but not limited to providing timely and accurate responses and information to students and visitors; Maintain confidentiality of all communications and activities as necessary and appropriate; Access BANNER and other databases to enter student applications, perform add/drop functions, print CAPPS for advisors and counselors, and retrieve any other information to assist staff and students; Assist Student Services during peak times and as needed, including College Planning, Placement Testing and Open House events; Handle all incoming calls and greet visitors as backup in the absence of the Welcome Desk staff; Participate in Professional Development activities when necessary; Produce reports, correspondence, flyers, announcements, presentations, and spreadsheets as needed; Delegate responsibilities to other staff as requested by the Director; Process and track all new adjunct hiring paperwork; forward to HR; Enter instructor’s HR information and course assignment into Banner; Maintain list of adjuncts who are teaching each semester and prepare contacts; Prepare payroll for adjunct faculty using FLAC; Order and distribute textbooks for adjunct faculty; Collaborate and communicate with other branch campus support staff for smooth operation of course schedule and staffing processes; Maintain a file on instructor absences and notify Director daily. Post cancellation notices on delegate and classroom doors; Provide support services necessary for the efficient operations of classes at the campus; Maintain and prioritize all teaching request; In coordination with the Director, prepare and maintain the room schedule chart. Facilitate requests from faculty, staff and community organizations for rooms and/or computer access for classes or special events and seminars; In the absence of the Director, ensure that all DCCC policies are followed. Serve as the contact for students or faculty who have questions or problems with some aspect of college or campus operations, instruction, policies, etc. Manage these situations in a professional manner and report all instances to the Director. Complete paperwork and reports as necessary; Perform other duties as assigned.
